Demand for artificial intelligence and data center capacity continues to grow, so does the need for specialized infrastructure capable of supporting these environments. Cooling systems are a critical component of modern data center infrastructure which help support the performance and reliability required for today's rapidly expanding digital and AI-driven environments.

As investment in data centers continues to increase, projects rely on specialized equipment arriving on time to support construction schedules and commissioning plans.

They demand detailed project planning, heavy-lift expertise, multimodal coordination, end-to-end chain of custody visibility, and proactive risk management to keep critical infrastructure projects on track.

Recently, our Project Cargo Services team was tasked with coordinating the movement of 43 oversized chiller units from a manufacturing location in China to the United States. With only four days between customer notification and vessel departure, the project required rapid planning, global coordination, and precise execution to meet a tariff-driven deadline.

What followed was a complex logistics operation that showcased the value of specialized project cargo expertise under significant pressure.

Narrow Window with Millions at Stake

The shipment involved 43 high-value chiller units with each weighing more than 52,800 kilograms. The customer's objective was straightforward which was ensure the cargo departed before impending tariff changes took effect. Missing the deadline could have resulted in substantial additional costs and disruptions to downstream project schedules.

Success depended on rapidly securing vessel capacity, coordinating the cargo from a single origin, and safely loading the equipment within an exceptionally compressed timeline.

Mobilizing a Global Team

The response began immediately. As teams across Asia and North America were mobilized, carrier partners were engaged to identify vessel options while operational teams in China coordinated export preparations and inland transportation.

Working across regions and time zones, stakeholders remained closely connected, allowing decisions to be made quickly and ensuring the cargo reached the port in time for departure.

Overcoming Critical Challenges

Before the cargo could begin its journey, the team faced several critical challenges that required rapid decision-making, close coordination, and precise execution.

  • Securing Vessel Capacity on Short Notice

With vessel availability posing the greatest risk to meeting the tariff deadline, our teams secured a suitable vessel within one day through close coordination with carrier partners, enabling the project to proceed as planned.

  • Coordinating Multiple Units From a Single Origin

With oversized cargo originating from one location in China, our teams carefully synchronized transportation, export activities, terminal operations, and vessel loading to keep the shipment on track.

In parallel, specialized packaging, cargo measurements, compliance verification, and marine surveyor inspections were coordinated at the origin to ensure each unit was ready for export and vessel loading.

  • Executing Safe Loading Under Tight Deadlines

To meet the tight departure window, Expeditors relied on detailed lift and stowage planning, marine surveyor inspections, cargo compliance verification, and experienced on-site supervision.

Working closely with terminal and crane partners, the team utilized specialized heavy-lift equipment, including vessel and gantry cranes, custom spreader beams, and reinforced securing systems to execute safe and efficient loading operations.

Meeting the Deadline and Delivering Results

By combining global project management, heavy-lift expertise, and close coordination across stakeholders, Expeditors successfully moved all chiller units from one location in China to their final destinations in the United States, with delivery coordinated across two sperate location in Houston and Charlotte. The equipment arrived on schedule, was delivered without damage, and remained fully visible throughout the process, allowing installation activities to proceed as planned.

For the customer, the result was more than a successful shipment; it was the timely delivery of critical cooling infrastructure needed to support ongoing data center expansion.

Our Project Cargo Services team understands that every move comes with unique requirements, timelines, and challenges. We develop tailored logistics solutions designed around each customer’s specific needs, helping manage complex cargo from planning through final delivery.
